Summary
The Logistics Coordinator coordinates program logistics pertaining, but not limited to, travel arrangements for Member community activities, room arrangement for on-site Members, vehicle coordination and compliance, DSP rotation for supervision and in learning hubs.
Essential Duties & Responsibilities
- Demonstrates positive attitude about New Horizons programs, employees, and Members and communicates in a positive and professional manner with all stakeholders.
- In collaboration with MSCs and CLC Program Manager coordinates DSP coverage for learning hubs due to absences, trainings or department meetings.
- In collaboration with CLC Program Manager and MSCs organizes last-minute room changes and Zoom changes that arise as a result of DSP call-outs.
- In collaboration with CLC Program Manager and MSCs, creates weekly rotation schedules for Member classes/activities according to Members’ ISP.
- In collaboration with CLC Program Manager and MSCs, coordinates daily supervision schedules for DSPs.
- Serves as a liaison between CLC and R&D Transportation and has daily bus duties to help ensure seamless Member arrival and departure.
- In collaboration with Member Services Coordinators, coordinates travel plans for Member community-based activities to include use of program vehicles, contracted transportation, or public transportation.
- Responsible for loading, distribution, and tracking of TAP cards for use by DSPs on public transportation.
- Coordinates the refueling of the agency vehicles used by CLC as needed.
- Reviews vehicle logs for accuracy and completeness and reports to supervisor any issues.
- Provides support to DSPs with IT related issues in Zoom classes.
- Assists with organization and filing of Member and program documents to ensure all documents are uploaded into the Member database as instructed by supervisor.
- Acts as a Supervisor of the Day.
- Participates in trainings as directed by supervisor. This includes agency and program-specific trainings.
- Serves as a back-up to other MSCs as needed. Steps in to fulfill staffing ratios and address emergency situations as needed.
- As needed, in the absence of DSPs, may be asked to cover learning hubs, community activities, and volunteer sites.
- Assists MSC’s with creating personalized activity and work packets and activity kits for Members who receive alternative services.
- Assists with enforcing COVID-19 protocols for Members which include symptom screening, testing, quarantining.
- Obtains Defensive Driver’s Trainer certification and conducts defensive driver’s training for agency employees as directed by supervisor.
- Coordinates the use of agency vehicles amongst programs.
- Manages and updates vehicle utilization log to ensure maximum utilization of agency vehicles.
- Performs regular audits of vehicle inspection logs and mileage logs and reports findings to supervisor.
- Performs regular checks of agency vehicles for cleanliness and reports findings to supervisor.
- Ensures monthly submission of fuel receipts by Arco credit card holders and reviews receipts before submitting to Accounting Department.
- Monitors employees’ driving records.
- Assists in coordination and scheduling of Defensive Driver’s Trainings for agency employees.

Qualifications

The individual must be proficient in the use of agency-provided devices, such as Surface Pro tablet, and in the use of applications such as Outlook, Teams, Google docs, Zoom, GoToMeeting, scheduler, Member database, and other applications as directed.
The individual must have basic knowledge of and be able to demonstrate appropriate communication and interaction styles for individuals with special needs. The individual must have excellent oral communication skills to engage Members over the phone or in virtual settings. The individual must have excellent writing skills to complete required reports and documentation. The individual must have excellent time management and organizational skills; must be a team player; must be able to work collaboratively with other MSCs, programs and departments; must maintain the highest professional and ethical standards at all times.
Must have a valid California Driver’s License, and a driving record acceptable to the agency’s insurance carrier. Must also pass a criminal background clearance and drug screening/test.
Education and/or Experience
A high school diploma or equivalent; associate’s degree is a plus; two years of experience working with one of the following: adults/children with developmental/intellectual disabilities, elderly, individuals with mental health disorders.
Language Skills
Ability to receive instructions in English and ability to communicate in English in virtual settings and by phone. Being bilingual in Spanish is advantageous but not required. Ability to clearly an accurately document in English the daily contacts and activities with Members. Both oral and written English competency is required.
